# Apps: switching features on and off

> TimeTracker is built from 15 apps you can switch on or off per workspace. Learn what each app does, what it depends on, and what happens when you turn one off.

TimeTracker is not one big product. It is 15 **apps** you can switch on or off for
your workspace, so the sidebar only shows the parts you actually use.

An accountant tracking billable hours does not need a resource planner. An agency
that invoices elsewhere can switch Invoices off. Turning an app off hides it
everywhere – it never deletes anything.

## Where to find them

Go to **Settings → Apps**. You need `workspace.updateSettings`, which Owners and
Admins hold. See [the Apps settings page](/settings/apps) for the screen itself.

## The 15 apps

They are grouped as **Work**, **Money** and **Connections**.

| **Calendar** | Keep planned blocks and Google Calendar in step, both ways. | Yes | Resource Planner |
| **Webhooks & API** | Send workspace events to your own systems over HTTPS. | Yes | – |

<Note>
  **Two apps are off when you start.** Time Clock and Location rules are opt-in.
  Clocking in and out changes how a team works day to day, so it is not something to
  appear in everyone's sidebar unannounced.
</Note>

## Apps depend on each other

Some apps only make sense on top of another one. A timesheet totals time entries,
so Timesheets needs Time tracking. Time Clock works out expected hours and absence
from a person's schedule, so it needs Work schedules.

TimeTracker enforces this both ways:

* **Turning one on** pulls in what it needs. You cannot switch on Time Clock while
  Work schedules is off.
* **Turning one off** warns you about the apps that depend on it, so you can see
  what else will disappear before you confirm.

**Example.** Northwind switches off Projects & tasks to simplify the sidebar. That
would take Time tracking, Invoices, Expenses, Budgets, the Planner and the Client
portal with it – almost the whole product. The warning shows that before anything
happens.

## What happens when you switch an app off

Nothing is deleted. Ever.

| App switched off | What happens |
| ---------------- | ------------------------------------------------------------------------------------------------------------------------------------------ |
| Time tracking | Timers and time entry are hidden, including in the top bar. Hours already recorded are kept. Timesheets and reports stop gaining new ones. |
| Projects & tasks | Clients, projects and tasks are hidden and nothing new can be created. Everything recorded is kept. |
| Timesheets | The weekly grid and its reviews are hidden. Time carries on being tracked, and approved time stays approved. |
| Reports | Reports and scheduled deliveries are hidden and stop being sent. Saved reports are kept. |
| Work schedules | Schedules are hidden and timesheets stop showing expected hours. Saved schedules are kept. |
| Time Clock | The clock and timecards are hidden. Recorded sessions are kept, and missing clock-out reminders stop. |
| Invoices | Invoices are hidden. Existing invoices and payments are kept. |
| Client portal | Your clients lose portal access. Their data is untouched. |

Switch the app back on and everything reappears exactly as it was.

<Warning>
  Switching off an app that sends things – Reports (scheduled deliveries), Time Clock
  (missing clock-out reminders), Webhooks – stops those messages going out. That is
  usually what you want, but it is worth knowing before a month-end.
</Warning>

## Apps are not plans

This is the most common mix-up in the whole product, and the two look nothing alike
once you know the difference.

| | App switched **off** | Feature **not on your plan** |
| -------------- | ------------------------------------- | ------------------------------------------------ |
| Where it lives | Workspace settings, your choice | Your subscription |
| What you see | Nothing. It is gone from the sidebar. | It stays in the sidebar, with an upgrade screen. |
| Who changes it | An Owner or Admin, instantly and free | Upgrading the plan |
| Reversible | Yes, instantly | Yes, by changing plan |

So: **hidden entirely = an app is off. Visible but blurred = the plan.**

See [plans and features](/concepts/plans-and-features) for what each plan includes.

## Which apps need a paid plan

Most apps map to a plan feature. A few notes on the ones that surprise people:

* **Reports is on every plan.** The app itself is free. What Pro adds is the
  *depth*: custom reports, scheduled delivery and export.
* **Time Clock, Time off and Expenses are free.** Recording work is free on every
  plan. Approving it is not.
* **Budgets is Pro**, but the cost and margin numbers you already recorded stay
  readable on Free. See [when a plan lapses](/billing/when-a-plan-lapses).

## Permissions

| Action                  | Capability                 | Roles        |
| ----------------------- | -------------------------- | ------------ |
| Switch an app on or off | `workspace.updateSettings` | Owner, Admin |

Everyone else sees the result, not the switch.

## Common questions

<AccordionGroup>
  <Accordion title="Will switching an app off delete my data?">
    No. Switching an app off only hides it. Every hour, invoice, expense and
    schedule stays exactly where it was, and comes back untouched when you switch
    the app on again.
  </Accordion>

  <Accordion title="Can I switch an app off for one person only?">
    No – an app is a workspace-wide switch. To limit one person, use their role or a
    [per-person permission override](/team/per-person-permissions). Clocking in and
    out is a common example: leave the app on, and switch clock access off for the
    one person who should not use it.
  </Accordion>

  <Accordion title="Why can I not switch on Time Clock?">
    Time Clock needs Work schedules, because expected hours and absence are worked
    out from a person's schedule. Switch Work schedules on first.
  </Accordion>

  <Accordion title="I switched an app off and a report broke. Why?">
    A saved report built on a hidden area has nothing to read. The report is kept –
    switch the app back on and it works again. See
    [report problems](/troubleshooting/report-problems).
  </Accordion>

  <Accordion title="Does switching an app off save me money?">
    No. Pricing is per seat, not per app. Switching apps off is about keeping the
    product simple for your team.
  </Accordion>
