# Resource Planner overview

> Plan who works on what and when. A calendar of planned blocks with capacity, days off, leave and holidays on one grid. Resource Planner is a Pro feature.

The Resource Planner is a calendar of **intended** work. You put blocks of time on
people's calendars, and the Planner tells you whether the week you just built is
realistic.

Open it from **Planner** in the sidebar.

## What a block is

A **block** is a span of intended time on one or more people's calendars.

| A block carries                      | Notes                                                             |
| ------------------------------------ | ----------------------------------------------------------------- |
| A date, a start time and an end time | The whole point – when the work happens.                          |
| Zero or more tasks                   | A checklist of what the block is for.                             |
| A title                              | Required if there are no tasks, such as `Standup` or `Deep work`. |
| A colour                             | From the shared palette, so the grid reads at a glance.           |
| An organiser and participants        | One owner, plus anyone else on it.                                |
| Notes                                | Agenda, links, context.                                           |
| A billable flag                      | On by default.                                                    |

## The layout

### The calendar

One grid, three views, switched with the **Month / Week / Day** tabs.

| Control                | What it does                                                         |
| ---------------------- | -------------------------------------------------------------------- |
| **‹** and **›**        | Move back and forward one period.                                    |
| **Jump to date**       | Go straight to a date.                                               |
| **Today**              | Return to now.                                                       |
| Period label           | The range currently on screen.                                       |
| **Month / Week / Day** | Switch the view. Day opens near the current time.                    |
| Member picker          | Overlay other people's calendars. Only shown with `time.viewOthers`. |

The grid is drawn in the **workspace** timezone, in 30-minute slots, with an
all-day row at the top and a line marking now.

### The Calendars sidebar

A panel on the left, collapsed by default. Open it with the panel button next to
the **Planner** title. It has four layers you can switch on and off:

| **Holidays** | Company holidays, as named all-day events.                               | Yes           |
| **Time off** | Your own leave as column shading, and teammates' leave as all-day cards. | Yes           |

| **Tasks**    | Due-date markers for the people on screen.                               | No            |

Task markers are off by default because a due date is a deadline, not occupied
time – drawing every one of them buries the actual plan.

Weekly non-working days are always shaded, whatever the layers say. Those are
structural.

### The capacity strip

Below the grid on **Week** and **Day** views:

> **Capacity** – Planned `28h` of `40h` – Logged `12h` – **Healthy**

It sums everyone currently on screen. Month view hides it. See

## Viewing other people

With `time.viewOthers`, the member picker overlays any set of teammates on the
same grid, Google-Calendar style. Each block names whose it is.

**Scheduling is singular; viewing is not.**

| Selection               | What you can do                                                                                               |
| ----------------------- | ------------------------------------------------------------------------------------------------------------- |
| One person – yourself   | Create, drag and resize blocks. Your own days off shade the grid.                                             |
| One person – a teammate | A banner reads *"Viewing {name}'s calendar"*. You can edit only with `block.manageOthers`.                    |
| Several people          | A banner reads *"Showing N calendars. Pick one person to add or move blocks."* Creating and dragging are off. |

Dragging is decided per block, not per view. Inside an overlay your own blocks
stay movable while a teammate's need `block.manageOthers`.

## How to plan a block

    Use **Week**, then the member picker if you are planning for someone else.

  <Step title="Drag out a slot">
    In Week or Day, drag across empty space. The times are prefilled. In Month, a
    day click prefills the date and defaults to 09:00 to 10:00.

  <Step title="Fill in the block">
    Add tasks or a title, set the colour, adjust the times, add participants.
  </Step>

  <Step title="Save">
    Click **Save block**. It appears on the grid.
  </Step>

  <Step title="Adjust by dragging">
    Drag a block to move it, or drag its edge to resize it. The change saves as
    you drop it.

## Example

Priya Raman plans the Bluebird Coffee week at Northwind Studio.

    Thursday 15:00 to 16:00, title `Bluebird design review`, participants Sarah,
    Jonas and Ana. That hour lands on all four calendars.

## Plan and app

| Gate          | Detail                                                                                     |
| ------------- | ------------------------------------------------------------------------------------------ |
| App           | **Resource Planner**, Work group, on by default. It requires the **Projects & tasks** app. |
| Plan          | **Pro**. On Free the Planner stays in the sidebar behind a paywall.                        |
| Calendar sync | The separate **Calendar** app, which requires Planner. Also Pro.                           |

Turning the Planner off hides it and stops blocks syncing to calendars. Every
planned block is kept.

## Permissions

## Common questions

    No. Blocks and time entries are separate. Log time with the timer or a manual
    entry.
  </Accordion>

  <Accordion title="Can I plan without a project?">
    Yes. A block needs either at least one task or a title. A titled block with no
    task is fine for a meeting or a call.
  </Accordion>

  <Accordion title="Does the Planner respect people's schedules?">
    Yes. Non-working days are shaded, and capacity is measured against expected
    hours from each person's schedule.
  </Accordion>

  <Accordion title="Why can I not create a block right now?">
    You are overlaying several calendars. Pick exactly one person.
  </Accordion>

  <Accordion title="Does the Planner sync with Google Calendar?">
    Yes, both ways, when the Calendar app is on and you connect your account. See
    /integrations/google-calendar.
  </Accordion>

## Troubleshooting

| Problem                                 | Likely cause                                                                                               |
| --------------------------------------- | ---------------------------------------------------------------------------------------------------------- |
| The Planner is missing from the sidebar | The app is off in Settings → Apps.                                                                         |
| A blurred paywall over the Planner      | The workspace is on Free.                                                                                  |
| No member picker                        | You do not hold `time.viewOthers`.                                                                         |
| Blocks will not drag                    | You are overlaying several people, or the block belongs to someone else and you lack `block.manageOthers`. |
| No capacity strip                       | You are on Month view. Switch to Week or Day.                                                              |
| Leave or holidays missing               | Check the layer switches in the **Calendars** sidebar.                                                     |
