# Apps reference

> All 15 TimeTracker apps in one table – group, default state, the plan feature that unlocks each, dependencies, and what switching one off actually does.

turn on. Set them at **Settings → Apps**.

  custom reports, scheduled delivery and export.

## What each app does

| App                         | Description                                                                                                          |
| --------------------------- | -------------------------------------------------------------------------------------------------------------------- |
| **Time tracking** | Track hours with a timer or enter them by hand, against any task or project – including the timer in the top bar. |
| **Projects & tasks** | Organise work into clients, projects and tasks, with sections, boards and lists. |
| **Timesheets** | Each person's week in one grid. Send it for review, approve it, and lock approved time so only admins can change it. |
| **Reports** | Build reports on where time and money went, save them, schedule delivery and export the results. |
| **Work schedules** | Recurring hours that set what each person is expected to work, and what their timesheet is measured against. |
| **Time Clock** | Your team can record their hours at work each day without logging time on specific tasks. |
| **Time Off** | Track vacations, sick leave and any other PTO type, with policies, balances and public holidays. |
| **Resource Planner** | Allocate people across projects, monitor capacity, and see when they free up for new work. |
| **Location rules** | Require people to be on an office network, or at a named place, before they can clock in, track time, or submit. |
| **Invoices** | Create invoices from tracked time and expenses, then record what clients pay. |
| **Expenses** | Log expenses along with time, attach receipts, reimburse people and make sure it is all invoiced accurately. |
| **Budgets & profitability** | Set a budget per project and watch cost, billable value and margin against it. |
| **Client portal** | Give clients a read-only view of their projects, approvals and invoices. |
| **Calendar** | Keep planned blocks and Google Calendar in step, both ways. |
| **Webhooks & API** | Send workspace events to your own systems over HTTPS. |

## What switching an app off does

Nothing is ever deleted.

| App | What happens when it is off |
| --------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Time tracking** | Timers and time entry are hidden everywhere, including the top bar. Every hour already recorded is kept; timesheets and reports stop gaining new ones. |
| **Projects & tasks** | Clients, projects and tasks are hidden, and nothing new can be created against them. Everything already recorded is kept. |
| **Timesheets** | The weekly timesheet and its reviews are hidden, and nothing new is submitted or approved. Time carries on being tracked, and everything already approved stays approved. |
| **Reports** | Reports and scheduled deliveries are hidden and stop being sent. Saved reports are kept. |
| **Work schedules** | Schedules are hidden and timesheets stop showing expected hours. Saved schedules are kept. |
| **Time Clock** | The clock and timecards are hidden. Recorded sessions are kept, and missing clock-out reminders stop. |
| **Time Off** | Time off is hidden and new requests stop. Balances and past requests are kept, and accrual pauses. |
| **Resource Planner** | The planner is hidden and blocks stop syncing to calendars. Planned work is kept. |
| **Location rules** | Location rules stop applying straight away and everyone can clock in and submit from anywhere. Your rules, the people they cover, and the history are all kept. |
| **Invoices** | Invoices are hidden and stop being created, sent or chased. Every invoice and payment is kept. |
| **Expenses** | Expenses are hidden and stop being added to invoices. Logged expenses and receipts are kept. |
| **Budgets & profitability** | Budget figures and threshold alerts are hidden on projects. Tracked totals keep building, so the numbers are right the moment you switch it back on. |
| **Client portal** | Clients can no longer sign in to the portal. Their comments, approvals and uploads are kept. |
| **Calendar** | Syncing stops in both directions. Events already in Google Calendar stay there, and connections are kept. |
| **Webhooks & API** | Endpoints stop receiving events. Anything that happens while it is off is queued and delivered when you turn it back on. Configuration and delivery history are kept. |

<Tip>
  **Location rules is the emergency exit.** A mistyped address range can stop a whole
  company clocking in. Switching the app off restores everyone immediately and keeps
  every rule intact for the fix.
</Tip>

## Dependencies both ways

Dependencies are enforced in both directions:

* **Switching an app on** pulls in whatever it needs. Turning on Time Clock turns on
  Work schedules too, because expected hours and absence come from a schedule.
* **Switching an app off** takes its dependents with it. Turning off Projects & tasks
  would take Time tracking, Timesheets, the Planner, Invoices, Expenses, Budgets, the
  Client portal and the Calendar with it.

The confirmation shows you what else will move before anything happens.

### The dependency chains

| Chain                                          | Reading                                                                                         |
| ---------------------------------------------- | ----------------------------------------------------------------------------------------------- |
| Projects & tasks → Time tracking → Timesheets | A time entry needs something to record against. A timesheet totals time entries. |
| Work schedules → Time Clock | Expected minutes and absence detection come from the schedule. |
| Projects & tasks → Resource Planner → Calendar | A planned block is allocated to a project. There is nothing to mirror to Google without blocks. |
| Projects & tasks + Time tracking → Budgets | A budget sits on a project and is consumed by tracked time. |

## App off vs not on your plan

These look nothing alike once you know the difference.

| | App switched **off** | Feature **not on your plan** |
| -------------- | ------------------------------------- | --------------------------------------------- |
| What you see | Nothing. Gone from the sidebar. | Still in the sidebar, with an upgrade screen. |
| Who changes it | An Owner or Admin, instantly and free | Upgrading the plan |
| Where          | Settings → Apps                       | Your subscription                             |

## Permissions

| Action                  | Capability                 | Roles        |
| ----------------------- | -------------------------- | ------------ |
| Switch an app on or off | `workspace.updateSettings` | Owner, Admin |

  <Accordion title="Which apps are off when I start?">
    Two. Time Clock and Location rules are opt-in, because both change how a team
    works day to day.
  </Accordion>

  <Accordion title="Can I switch an app off for one person?">
    No. An app is a workspace-wide switch. To limit one person, use their role or a

  <Accordion title="Does switching apps off reduce my bill?">
    No. Pricing is per seat, not per app.
