TimeTracker has two plans: Free and Pro. Billing lives at Settings → Plan & billing, and each workspace is billed on its own.

What “billing” covers here

A workspace is the thing that pays. If you belong to three workspaces, each one has its own plan, its own seats and its own bill.

The two plans

The dividing line is capture vs resolution.
  • Free = record your work. Track time, run projects and tasks, fill in timesheets, clock in and out, request time off, submit expenses.
  • Pro = resolve it. Approve the work, invoice it, budget against it, share it with a client, or take it out as a file.
Pro is one tier on two cadences – monthly or yearly. There is no higher tier to buy.

Trials

The first workspace you create starts on a 14-day trial with every Pro feature switched on. The trial belongs to you, not to the workspace, so a second workspace you create later starts on Free. When the trial ends, the workspace moves to Free. Nothing is deleted.

Seats

The Free plan includes 3 people. Seats count everyone with access:
  • every active member, of every role
  • every open invitation that has not expired
  • every client-portal contact

Example

Maya Ellis creates Northwind Studio. Her 14-day trial gives the whole team invoicing, budgets and approvals from day one. On day 15 the trial ends. Northwind has 5 people, which is over the Free limit of 3. All 5 keep working, all their tracked hours stay on screen, and Priya can still see the timesheets her team submitted. What she cannot do is approve them. Maya upgrades to Pro, and the whole backlog of submitted timesheets becomes approvable the same minute.

Permissions

billing.manage is a capability, so a custom role can be granted it. If you do not hold it, Plan & billing does not appear in your settings menu, and upgrade prompts tell you to ask an owner or admin instead of sending you to a page you cannot use.

What happens next

  • If you are on a trial, a quiet bar appears at the top of the app in the last 3 days.
  • If a payment fails, that bar turns into a warning with a Manage billing button.
  • If you are on Free, the bar reminds you what Pro unlocks.
Nothing in TimeTracker ever locks you out of the app because of billing. The worst case is that a paid feature stops accepting new writes.

Common questions

No. Free is permanent. A workspace can stay on it forever.
Both, in a sense. Each workspace has its own subscription, and inside a workspace you pay per person with access.
Our payment provider handles billing, tax and VAT as merchant of record. Your card details never touch TimeTracker.
Only people with billing.manage see the billing page. Everyone else sees plan limits at the point they hit one, with a message telling them who can upgrade.
